Every vacation rental business reaches a stage where spreadsheets, manual messaging, and switching between Airbnb and VRBO simply aren’t enough.
Recently, we worked with a client who was facing exactly that situation. They had a growing portfolio of properties and wanted a better way to manage bookings, guest communication, and daily operations. There are several property management systems available today, and each has its strengths. For this particular project, Guesty made the most sense because it already covered most of the operational tasks the client was doing manually.
It also provides a solid API, which was important because we knew we’d eventually be connecting it to a custom website.
Rather than solving today’s problems only, we wanted to avoid creating new ones six months later.
Setting Everything Up
The implementation started with configuring the Guesty account correctly.
This included setting up the business profile, property information, users, permissions, booking preferences, and other operational settings.
It’s tempting to rush through this stage, but we’ve found that spending extra time here prevents a lot of issues later.
Once the account structure was ready, we moved on to the properties themselves.
Each listing was reviewed carefully to make sure descriptions, amenities, check-in information, pricing, and availability were complete and consistent.
It sounds like a simple step, but inconsistent listing data often causes problems once multiple channels are connected.
Connecting Airbnb and VRBO
The next stage was connecting the client’s Airbnb and VRBO accounts.
Once everything was synchronized, Guesty became the central place for managing reservations and calendars.
Instead of updating availability on different platforms, changes only needed to happen once.
That immediately reduced the chances of mistakes and made daily management much easier.
Automating Guest Communication
Guest communication takes more time than many property owners expect.
Booking confirmations, check-in instructions, reminder messages, checkout information—these are all necessary, but sending them manually doesn’t make much sense when the process can be automated.
We configured Guesty so guests receive the right information at the right time without the client having to send every message themselves.
The result wasn’t just time savings. It also created a more consistent experience for guests.
Organizing Cleaning Operations
Cleaning schedules were another area we wanted to improve.
Instead of relying on manual coordination, cleaning tasks could now be linked to reservations, making it easier to know when a property needed attention.
For businesses managing multiple properties, even small improvements like this reduce daily stress and help avoid last-minute surprises.
Planning Ahead for a Direct Booking Website
One reason we recommended Guesty was its API.
Although the client’s website wasn’t part of this phase of the project, we knew it was coming next.
That meant we could configure everything with future integrations in mind.
The plan is to connect the website directly with Guesty so it can display:
- Live availability
- Real-time pricing
- Property information
- Reservation data
- Booking restrictions
This avoids maintaining separate systems and keeps everything synchronized automatically.
The Outcome
By the end of the project, the client had a much cleaner workflow.
Instead of juggling multiple platforms every day, they had one central system managing their operations.
More importantly, the business is now in a much better position to grow.
Adding new properties or launching a direct booking website will be far easier because the foundation is already in place.
Final Thoughts
Every vacation rental business works a little differently, so there isn’t a single setup that fits everyone.
What worked well in this project was taking the time to understand how the client actually operated before configuring the software.
Technology should support the business—not force the business to adapt to the technology.
